1) This is a part time position. This position will be paid at an hourly rate.
2) RESPONSIBILITIES (will include, but not be limited to):
a) Administrative assistant to the Pastor, focusing on correspondence and administrative needs of the Pastor.
b) Administrative assistant to Session, staff, ministries, and the HCC church family (see Office Manager responsibilities, below)
c) Editing and printing of Sunday Orders of Worship and related documents. Some scheduling and weekly reminders for worship volunteers.
d) Office Manager (administrative duties and sound office practices in coordination with Session, the Pastor and the various ministries) including, but not limited to:
Receptionist duties (telephone and walk-ins)
Database management (membership and attendance)
Bulk mail, church mailings, and various other large and small mail duties.
Church calendar maintenance
In coordination with the Treasurer, accomplish various financial transactions including payroll and some accounts payable. Maintaining accounts payable files.
Responsibility for the contribution recording process. Weekly stewardship posting and production and distribution quarterly stewardship statements, and the compilation of various reports for the Treasurer.
Coordinate completion of Annual report with the Pastor, Staff, Treasurer and ministry leaders.
Inventory and purchase office and church supplies.
Archive material maintenance (Session Minutes Book, Church Register, files)
e) Other duties as they become necessary.
3) HELPFUL GIFTS, TALENTS AND ABILITIES
This position is a blend of public contact and organizational/administrative duties. Flexibility, patience, a love for people, a cheerful spirit, and the ability to endure interruptions are helpful along with a working knowledge of the Presbytery and basic secretarial skills including being proficient in Microsoft Office.
As this position is highly visible in terms of the ministry of Hackberry Creek Church and the contacts of the church, it is essential that in a significant respect, the Administrative Assistant position be viewed as a call to ministry. Therefore, The Personnel Committee and Session deem it a requirement that the person holding this position be committed in word and action to the "The Purpose of Our Church" statement of HCC (as printed and commonly distributed). Activities related to practicing Christian faith such as attendance at chapel, staff devotion/retreats can be expected as the routine aspects of this position.
