Job Description:

If you have worked in a fast-paced office in the past and you enjoy establishing your own_noemailanizational systems, we're excited to talk with you. We're looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without feeling overwhelmed.

As a receptionist you will be the first point of contact for the agency. You will handle the flow of people through the business and ensure that all administration tasks are_noemailpleted accurately and delivered with high quality and in a timely manner. Also responsible to maintain and ensure an efficient running front office. This position has 2 major functions: The first: to answer phones, greet clients and visitors; the second: this position provides specific department support.


Answer, screen and forward any i_noemailing phone calls while providing basic information when needed.
Serve visitors by greeting, we_noemailing, directing and announcing them appropriately.
Work collaboratively with other Administrative Assistants to ensure front desk coverage at all times for break and lunch periods.
Initiate and coordinate repairs and maintenance for the office equipment under the direction of supervisor and in partnership with IT Supervisor.
Support the monthly employee events as assigned.
Initiate facility requests as needed to maintain and support program office needs and efficiency.
Update appointment calendars and schedule meetings/appointments.
Receive and sort daily mail/deliveries/couriers.
Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
Adhere to all safety and security procedures for opening and closing the office daily.
Perform other clerical duties such as filing, photocopying, collating, faxing etc.
Assist with calendar schedules for multiple senior level management staff.
Communications follow up for important events, activities and dates.



Bachelor's degree in a business related field with at least 2 years administrative experience, or equivalent experience in an administrative role is required.
Ability to multi-task and manage time to complete daily and weekly tasks as well as special projects.
Professional appearance.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint and Visio).
Valid CA driver's license.
Fingerprint clearances and any other regulatory clearances necessary for the position.
Must occasionally lift and/or move up to 50 pounds.
Ability to get CPR and First Aid certificate within 30 days of start date, and maintain a current certificate.
Must be at least 21 years of age and able to work in a Community Care Licensed Facility.
